Section 1: Safeguarding and Protecting Children Policy

Applies To: All staff, contractors, and athletes engaged with HP3.
1.1 Policy Statement
HP3 is committed to safeguarding the welfare of all children involved in our coaching programmes. We believe that every child has the right to a safe, supportive, and respectful environment, free from harm, abuse, and neglect.
This policy aligns with the Children Act 1989 and 2004, the United Nations Convention on the Rights of the Child, and the Equality Act 2010.
1.2 Scope
This policy applies to:
Children under 18 years participating in HP3 activities.
All HP3 staff, contractors, and stakeholders.
1.3 Key Definitions
Child: Any person under 18 years of age.
Abuse: Physical, emotional, sexual abuse, and neglect.
Position of Trust: The responsibility held by HP3 coaches and staff when working with children.
1.4 Roles and Responsibilities
Designated Safeguarding Officer (DSO): Tim Pigott info@hp-3.co.uk
Responsible for overseeing safeguarding practices, receiving and responding to concerns, and liaising with external agencies.
All Staff and Volunteers:
Must complete safeguarding training every three years.
Report concerns immediately to the DSO.
Follow HP3’s safeguarding code of conduct.
1.5 Safeguarding in Online and Remote Coaching
HP3 recognises the unique safeguarding challenges presented by online and remote coaching. To address these:
Coaches must use HP3-approved platforms (e.g., Microsoft Teams, TrainingPeaks) for communication.
All online sessions involving children must:
Include a parent/guardian or another responsible adult present.
Be conducted in a neutral setting (e.g., living room).
Coaches must avoid one-to-one communication with children outside approved channels.
1.6 Reporting Procedures
Recognising Concerns: Signs of abuse include unexplained injuries, withdrawal, fear of certain individuals, and sudden changes in behaviour.
Raising Concerns:
Report immediately to the DSO.
Use the HP3 Incident Reporting Log to document the concern.
External Reporting:
If a child is at immediate risk, contact emergency services (999).
The DSO will liaise with children’s social care services when required.
1.7 Code of Conduct
HP3 staff and volunteers must:
Always act in the best interests of the child.
Maintain professional boundaries.
Avoid inappropriate physical contact or language.
Obtain parental consent for all activities involving children.
1.8 Policy Review
This policy will be reviewed annually or in response to changes in legislation. Feedback from staff and stakeholders will inform updates.
Section 2: Safeguarding Adults at Risk Policy

2.1 Policy Statement
HP3 is committed to safeguarding the welfare of adults at risk who participate in our coaching programmes. We aim to create an environment where everyone feels respected, safe, and empowered.
This policy aligns with the Care Act 2014 and Equality Act 2010.
2.2 Scope
This policy applies to:
Adults at risk participating in HP3 activities.
All HP3 staff, volunteers, contractors, and stakeholders.
2.3 Key Definitions
Adult at Risk: A person aged 18 or over who:
Needs care and support.
Is at risk of abuse or neglect.
Is unable to protect themselves due to their needs.
Abuse: Includes physical, emotional, financial, sexual abuse, neglect, self-neglect, and domestic violence.
2.4 Roles and Responsibilities

Responsible for managing concerns and liaising with external agencies.
All Staff and Volunteers:
Complete safeguarding training every three years.
Recognise and report concerns promptly.
2.5 Safeguarding in Online and Remote Coaching
To protect adults at risk in remote coaching environments:
Ensure clarity in communication, using approved platforms only.
Respect boundaries and privacy by avoiding one-to-one sessions unless pre-approved.
Maintain professionalism in all written, verbal, and video communications.
2.6 Reporting Procedures
Recognising Concerns: Signs include unexplained injuries, changes in financial circumstances, withdrawal, or signs of neglect.
Raising Concerns:
Report to the DSO using the HP3 Incident Reporting Log.
Where necessary, contact adult safeguarding services or the police.
Confidentiality: All reports will be handled sensitively, sharing information only with those who need to know.
2.7 Code of Conduct
HP3 staff and volunteers must:
Respect the autonomy and dignity of adults at risk.
Avoid assumptions based on stereotypes or biases.
Act promptly to address safeguarding concerns.
